Role Purpose:

We are currently seeking a Fleet Operations Lead located in our head office in Moscow, Russia. The role is reporting to the Regional Head of Indirect Procurement within Syngenta's Indirect Procurement Department.

In this role, you will assume all operational fleet related matters as well as the strategic development of a large and fast growing fleet of around 500 cars across 11 countries (Russia and CIS).

In conjunction with the local Procurement Business Partners, Fleet Category Managers, business functions heads and appointed Fleet Management Company, you will drive the implementation and good execution of Syngenta fleet strategy and fleet operational excellence.

You will relentlessly challenge status quo by reviewing and implementing improvements to the service provided, the existing operations processes and supporting technology solutions and areas where savings can be made without reducing service quality.

  • Oversee and manage in compliance with applicable national & international rules and regulations, all aspects of fleet management / vehicle life cycle - tracking and reporting on safety, maintenance, and fuel
  • Identify and implement strategies to drive service excellence and superior end-user satisfaction, improve fleet department efficiency and capability. Document in Standard Operating Procedures (SOPs), measure and report performance scorecards across departments
  • Drive the appointed Fleet Management Company and all third party vendors to create, publish and continuously improve performance metrics in conjunction with their contractual agreements
  • Maintain the company Fleet Management System and specific data bases of sales, registration, inspections, fuel and maintenance of fleet management
  • Reviews monthly cost accounting reports to determine effectiveness and efficiency of operations, seeking out cost savings opportunities
  • Partner with finance and business heads to develop and manage the annual fleet budget, expenditures and analysis of all financial objectives; Support the critical month-end close activities, including SOX controls, fuel reporting, budget vs. actual spend analysis and reconciliation along with defining mitigating initiatives
  • Provide consultation to personnel concerning vehicle maintenance, repair and procurement; respond to inquiries, resolve issues and conflicts. Act internally as the point of escalation to the appointed Fleet Management Company
  • Develop and implement together with HSE and external partners driver safety programs. On-board new employees and support training on all fleet and safety related matters
  • Manage monthly fleet updates and reporting for senior management
  • Serve a project leaders for the delivery of fleet related projects in time, cost and quality
  • Additional duties as assigned
  • Experience of managing a diverse team across countries and culture
  • Excellent leadership skills with an ability to build effective team and manage team and stakeholders
  • Effective and proven English communication skills both written and oral. Any additional language necessary to effectively manage/deliver the service in the country are beneficial
  • Demonstrated ability to work effectively with all employees and external business contacts while conveying a positive, service oriented attitude
  • Ability to face and solve unexpected situation / challenges
  • Ability to plan and organize work to meet deadlines whilst maintaining some flexibility to manage changing demands
  • Comprehensive working knowledge of the contracts management in relation to the provision of services to the countries, including the related service level agreements and key performance indicators
  • Solid knowledge of compliance requirements for DOT, OSHA, local and national laws and regulations. Health & Safety requirements and how they can best be implemented
  • Experience of working in matrix organization
  • Experience of managing 3rd party suppliers, including contract management and the operation of SLAs and KPIs
